A Guide to Moving Offices

Moving offices is sometimes a necessity when you choose to grow or even downsize a business. There’s no doubt that it is a stressful and time-consuming process, sometimes filled with small disasters.

The space should be able to accommodate a growing business, and should be in an appropriate part of town. Heating/cooling, security, convenience, and who is responsible for maintenance are all things that should be considered when looking for a new facility.

You don’t want to end up needing a service for a full lock rekeying in Harrow or any other town the day of the big move.

Looking for a new building ideally is a process that should take 3 to 4 months and your search should be very thorough so you don’t end up with something that does not work for you and your business. These are a few tips that can help you ease the pain of moving an entire office.

When You’ve Chosen the New Building

Once you’ve decided on the new building and have everything in place to occupy it you should get started on planning immediately. It should be measured to make sure they can hold all the furniture you have now or if you need to order more furniture.

A Month before Moving In

About a month before move-in if you have the budget for it, hire someone that can devise on planning your office design. If you’ve ordered new furniture their company might provide this person. Have your security company or the security company provided by the area survey your new office.

At this time you should also be looking for new insurance, business rates, IT, and Internet and phone services.

Inform any delivery services that you receive that you’ll be moving in a short amount of time. This would be a newspaper delivery your cleaners the Postal Service things like that. After you’ve figured out a plan for a security company sign the contract with them so no time will lapse between your coverage. Organize your change of address with the postal service as well as the suppliers you order anything from.

Two Weeks Before

About two weeks before you move-in make sure the building is set up to have phones, Internet, and drinking water available as soon as you start moving in.

One Week to go

 One week before you move then organize the cleaners to do a final clean of your old office. Send all of your contacts your change of address notice. Have your IT people set up the computers and servers as well as cables and wiring. Research the best deals for any deliveries you canceled at the old office. Some of the services may even be able to simply be transferred.

If there is a kitchen, be sure that cutlery is available and any other necessities. The right furniture should be chosen to fill the space appropriately. Bulky furniture goes in larger room, while sleeker furniture in smaller rooms.

Soft furnishings will reduce the noise and echo made throughout the building, and there is also artwork built specifically to absorb noise.

Above all, meetings should be canceled for a few days if the move is mid-week. Start fresh with clients in a brand new, clean, and organized building.
